Develop policy and code of conduct

  • Review all the policies available at the PO level - check if it was created along withe inputs of its members - if not get them to have an inclusive approach to frame the missing policies.
  • Share the list of policies that is needed at the PO level
    1. Child labour policy
    2. Protection of Vulnerable community members (including children and Women)
    3. Anti- harassment policy
    4. Nondiscrimination, Harassment & Disciplinary Practice
    5. Gender Inclusive Policy
    6. Anti - Human Trafficking policy
    7. Reporting and Redressal mechanism
    8. Environmental Policy
    9. Compensation
    10. Hours of work
    11. Occupational safety and health, including issues such as industrial hygiene, emergency preparedness, safety equipment, sanitation, and access to food and water

Documentation at PO level

The purpose of a documentation streamlining is to hold tangible proof of compliance and to either corroborate or find discrepancies in the information gathered through workers and management interviews.

The types of documents that would support PO include:

  1. Age verification procedures and documents
  2. Gender Profiling at community level
  3. Youth Profiling at community level
  4. Children Profiling at community level
  5. Master list of juvenile workers,  migrant workers, women workers, pregnant women workers, youth workers, death list if any
  6. Selection and recruitment procedures
  7. Contracts with labor brokers
  8. Worker contracts/employment agreements
  9. Worker personal documents that may be in the employer’s keeping
  10. Migrant community details
  11. Personnel files for staff and field officers
  12. Employee communication and training plan - certifications including but not limited to skills training, worker preparedness, government certification programs, systems/policy orientations
  13. Collective bargaining agreements - if any
  14. minutes of meetings - committee meetings, children meetings, youth programs,
  15. Payroll and time records
  16. Written human resources policies and procedures
  17. Occupational health and safety plans and records including legal permits, maintenance and monitoring records, injury/accident reports, investigation procedures, chemical inventories, personal protective equipment inventories, training certificates and evacuation plans
  18. Disciplinary notices
  19. Protection and safeguarding committee - complaints file
  20. Risk Registers
  21. Report and minutes of the committees
  22. Dismissal and suspension records  (HL)
  23. Records of employees who have resigned
  24. Worker closing files.
